AI brief
Business: [name]. Prepared by: [your name]. Date: [date].
1. About the business
What do you do, for whom, and where?
- Business name and website
- What you sell or deliver, in two sentences
- How many people are on your team, and how many are part-time
- Who your customers are
2. A normal week
Walk through a typical week in the order it happens. Rough is fine.
- Monday to Friday: what fills the day
- Work that repeats every day or every week
- The part that always runs late or gets skipped
- Where you or your team wait on each other
3. The tasks that eat time
List up to ten tasks you suspect take too long. For each one:
- The task, in a few words
- Roughly how many hours a week it takes
- Who does it
- What a good result looks like
4. Tools you already pay for
Include anything you have forgotten you have. Plans matter, so note them.
- AI tools and the plan on each (free, paid, team)
- Email, calendar, accounting, CRM, booking, phone
- Anything with a built-in AI feature you have not turned on
5. What you have tried
Whatever you have done with AI so far counts.
- Which AI tools, for which jobs
- What worked well enough to keep
- What did not, and what went wrong
- What your team already does with AI
6. Limits
What must not change or leave the business.
- Data that cannot go into an outside tool
- Rules from customers, contracts or regulators
- Work you want to keep doing by hand
7. What a good result looks like
If this goes well, what is different in three months?
- Hours back, and for whom
- What you would do with them
- Anything you would rather not touch
How to use it
- Write in your own words. Bullets are fine. Twenty minutes is enough for a first pass.
- Leave out anything private: customer names, account numbers, passwords.
- Paste it at the start of a chat with an AI tool, and it starts with your context instead of guessing.
- Or bring it to a Discovery call and we go through it together.
Where I come in
The 45-minute Discovery call is free. I read your brief beforehand, and we pick the work AI should take first. Filling it in is not a condition of booking.
Questions people ask
What is an AI brief?
A short written description of your business and your week, used as context for an AI tool or an adviser. It saves you re-explaining the same background every time.
Do I need to fill in the Discovery call intake separately?
No. This brief is the intake. Send it when you book, or bring it to the call.
Should I put customer data in it?
No. Describe the kind of work and the kind of data, not the data itself.
