What the big AI tools do with your business data
- Free

Before your team pastes customer details into an AI tool, it helps to know which plan it is on. I read each vendor’s own pages and put the answers side by side.
Training on your data, by plan
One line per plan tier. Open a vendor page for retention, admin controls, the setting to change and BAA availability, each with a quote and a link.
| Vendor | Free or consumer | Paid individual | Team or business | Enterprise |
|---|---|---|---|---|
| ChatGPT | May train; you can switch it off | May train; you can switch it off | Not used for training by default | Not used for training by default |
| Claude | Used only if you allow it | Used only if you allow it | Not used for training by default | Not used for training by default |
| Microsoft Copilot | May train; no off switch confirmed | Not used for training by default | Not used for training by default | Not used for training by default |

Pick a tool
- ChatGPT (OpenAI)
TechnologyFree, Plus and Pro may train unless you switch it off. Business and Enterprise do not by default.
- Claude (Anthropic)
TechnologyFree, Pro and Max train only if you allow it. Team and Enterprise do not by default.
- Microsoft Copilot (Microsoft)
TechnologyWork Copilot: not used to train foundation models. The free consumer app is the open question.
- Gemini (Google)
TechnologyPersonal accounts train while Keep Activity is on. Workspace does not without permission.
How I checked
- Only the vendor’s own published pages. No forums, no blog posts about the vendor.
- A short quote and the exact link beside each fact, with the date I checked.
- If a page does not say, the answer is “not stated.” I do not fill the gap.
- These pages change. I recheck them each quarter, and you should open the source before you decide.
A planning aid, not legal advice.
Which plan fits how your team uses AI?
Not sure which of these your team should be using for work that touches customer details? I can look at your week with you and say.
